Business Writing : Memo






Business memos are written for the following reasons :
  • Giving announcement
  • Providing technical help (instructions)
  • Making requests and queries
  • Communicating a directive

Let's see a real example of a memo about the outsourcing of the cleaning services (Outsourcing takes place when a company thinks it is more beneficial that another company performs some of its products or services):
To : All heads of departments
From : Manager

Subject : Outsourcing of cleaning services


With reference to your request for comments on the cleaning staff, I have evaluated the situation and my findings are the following:

The cleaning section state that their present workforce of nine cleaners is inadequate owing to the expansion of the company. This view has been supported by a number of complaints in various departments. They all agree that the cleaning section is understaffed.
To overcome this problem, additional cleaners must be recruited. But as this would cost the company, I have contacted G-Clean Company who would like to provide us with cleaners at the cost of $5000 per month inclusive of materials and equipment. Their duties will commence on 1 June 2012.
